Privacy Notice
Last updated: 2 October 2026
This notice explains how Landic Ltd collects and uses personal data when you visit our website, contact us or instruct us, and the rights you have under UK data protection law, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
Landic Ltd (“Landic”, “we”, “us”) is a town planning and architectural design consultancy, registered in England and Wales under company number 11145240. Our registered office is 19 Parkwood Road, Hastings, East Sussex, TN34 2RN.
We are the controller of the personal data described in this notice. If you have any questions about it, or want to exercise your rights, contact us at info@landic.co.uk or on 07733 971 794.
2. The personal data we collect
- Enquiries: your name, email address, phone number, site postcode or address, the type of project and anything else you tell us, whether through our contact form, the quote form in our planning guide, email or phone.
- Client projects: property and ownership details, drawings, photographs, correspondence, and billing information. Planning documents can also contain information about other people, such as neighbours or previous owners.
- Website use: if you accept analytics cookies, Google Analytics collects information about how you use our site, such as the pages you visit, how long you stay, your approximate location, device and browser (see section 11). Our hosting provider may also keep standard server logs (such as IP address, browser type and pages requested) for security and to keep the site running. We do not use advertising trackers.
Our planning guide. The “What are you looking for?” guide on our homepage runs entirely in your browser. The buttons you press and the questions you type are not stored or sent to us. We only receive information if you choose to submit the quote form. That submission includes the details you enter and the topics you selected in the guide.
3. How we use your data and our lawful bases
- To answer your enquiry and prepare a quote, because you have asked us to take steps before entering into a contract, and in our legitimate interests in responding to people who contact us.
- To provide our services, including preparing and submitting applications, appeals and building control submissions, because this is necessary to perform our contract with you.
- To keep accounting and tax records and to meet other legal obligations, because the law requires it.
- To run and protect our business, for example maintaining records, improving our services and establishing or defending legal claims, in our legitimate interests.
- To understand how our website is used and improve it, using Google Analytics, only with your consent.
We do not send marketing emails unless you have asked us to, and you can opt out at any time. We do not make decisions about you based solely on automated processing.
4. Planning applications are public
When an application is submitted, the local planning authority will usually publish it on its public planning register. This includes the applicant’s name and the site address, and may include drawings and supporting documents. The council is responsible for that publication under planning law. We will tell you what will be submitted on your behalf before it is sent.
5. Who we share your data with
- Local planning authorities, the Planning Inspectorate and building control bodies, as needed for your project.
- Consultants we work with on your project, such as surveyors, engineers, ecologists and heritage specialists, with your agreement.
- Service providers who support our business, including our website form provider (Formspree), Google (for website analytics, if you accept analytics cookies), email and IT providers, our website host, and professional advisers such as accountants, insurers and lawyers.
Our service providers may only use your data to provide their services to us. We never sell your personal data.
6. International transfers
Some of our service providers, including Formspree and Google, are based in or store data in the United States or elsewhere outside the UK. When personal data is transferred outside the UK, we make sure it is protected, for example by relying on UK adequacy regulations (including the UK–US data bridge for certified organisations) or the International Data Transfer Agreement or Addendum issued by the Information Commissioner’s Office.
7. How long we keep your data
- Enquiries that don’t go ahead: up to 2 years after our last contact.
- Client project records: normally 6 years after the end of our engagement, or longer where needed to deal with a potential legal claim.
- Financial records: 6 years after the end of the financial year they relate to, as required by law.
When data is no longer needed, we delete it securely or anonymise it.
8. Keeping your data secure
We use appropriate technical and organisational measures to protect personal data, including access controls, secure, reputable service providers and encrypted connections to our website. Please don’t send highly sensitive documents through our website forms. We’ll arrange a secure way to share files once we’re working together.
9. Your rights
You have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct inaccurate or incomplete data;
- ask us to delete your data, or to restrict how we use it;
- object to our use of your data where we rely on legitimate interests;
- ask us to transfer data you have given us to another organisation; and
- withdraw any consent you have given, at any time.
Some of these rights are subject to exceptions. To exercise any of them, contact us using the details above. There is usually no charge, and we will normally respond within one month.
10. Complaints
If you are unhappy with how we have handled your personal data, please contact us first and we will do our best to put things right. We will acknowledge your complaint within 30 days and respond without undue delay.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator: ico.org.uk/make-a-complaint, telephone 0303 123 1113, or write to Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.
11. Cookies and analytics
When you first visit, we ask whether you accept analytics cookies. If you accept, we load Google Analytics, which sets cookies named _ga and _ga_*. These cookies tell visits apart and help us measure how the site is used. They last for up to 2 years. Google Analytics is provided by Google LLC and Google Ireland Limited, and you can read how Google handles data at policies.google.com/privacy.
If you decline, Google Analytics is not loaded and no analytics cookies are set. Either way, we save your choice in your browser’s local storage so we don’t ask again on every page. This is necessary to respect your choice.
You can change your mind at any time using the “Cookie settings” link at the bottom of every page, or by clearing cookies and site data in your browser.
Our web fonts are provided by Google Fonts, which means your browser connects to Google’s servers and shares your IP address with Google when pages load. Google Fonts does not set cookies.
12. Changes to this notice
We may update this notice from time to time. The latest version will always be on this page, with the date it was last updated.
